Recruitment procedures for faculty & Administrative/Professional positions
Once the Chancellor/Director/Dean/VP appoints the search committee and establishes a clerical manager, these steps should be followed:
1st approval
Authorization to recruit
- For permanent, tenure-track faculty searches only. Submit “Request for Authorization for Faculty Recruitment” form to the Office of the Provost for approval.
- For AP searches only: Submit electronic position description and organizational chart to HRS (wickd@wsu.edu) for a quick review of the official title and title code.
- Authorization to Recruit Faculty and Administrative Professional Personnel Form.
- Draft Position Description (AP Searches only) with notice to CHR from HRS approving the AP position.
Submitted to Chancellor/Director/Dean/VP/EEO Representative for review and signature. Forwarded for review and approval by WSUS EEO Representative.

2nd approval
Search committee meets with EEO representative and Unit Head to receive charge and instructions. The following documents are completed:
- Finalized Position Description (AP only)
- Notice of Vacancy (see Item #8)
- Advertising Plan (including targeted recruitment resources) (See Item #8)
- Advertising Copy (see Item #8)
- (Optional) Timetable
- Candidate Comparison Sheet
- Ranking Method Form
- For Tenure-Track Teaching Faculty Searches: Before ads are published, a copy of your Notice of Vacancy, Ad Copy and Ad Plan must be vetted by the Office of International Students and Scholars (OISS) in International Programs.
Reviewed and approved by Chancellor/Director/Dean/VP/EEO Representative. The EEO Representative will route a copy to CHR.

3rd approval
- Completed Candidate Comparison Sheet
- Long list with candidate evaluations
- Short list with strengths and weaknesses from application materials, phone interviews, reference checks, etc.
- Memo requesting to interview.
Reviewed and approved by Chancellor/Director/Dean/VP/EEO Representative. The EEO Representative will route a copy to CHR.

4th approval
- Reasons for selection and non-selection (strengths and weaknesses and elimination codes).
- Request to Offer
- For Tenure-Track Teaching Faculty Searches: If you wish to hire a foreign national, a copy of your DRAFT Letter of Offer must be vetted by the Office of International for review PRIOR TO sending it to the candidate for signature. Review and approval by CHR prior to offer being made.
Submitted to Chancellor/Director/Dean/VP/EEO Representative for review and signature. The EEO Representative will route a copy to CHR.
