HOW DOES THE ACCOMMODATION PROCESS WORK?
Providing equal access is a university-wide responsibility in which Washington State faculty, staff, and students play important roles. The following guidelines help to clarify the different roles of those involved in the provision of accommodations and other services to students with disabilities.
What the student needs to do
- Complete and submit Disability Services Request form (pdf) »
- Confirm that all required documentation has been received by the Assistant Director of Student Affairs and make an appointment to meet with Liz West to discuss accommodations and receive Letters of Accommodation.
- Promptly request accommodations as far in advance as possible so that the Student Affairs office can work with faculty, Assistive Technology, Alternative Print, and/or Testing/Notetaking Coordinators, and others to provide the most effective and timely accommodations in accordance with your needs.
- Provide a Letter of Accommodation to each instructor. Be willing to discuss your accommodation needs and academic concerns with your instructors as needed.
- Many instructors prefer to work closely with you and are genuinely interested in your success—communicate early and often!
- Check in with the Assistant Director if there are changes to your disability which may require updated documentation.
- Let her know as soon as possible about any concerns you may have about receiving your accommodations. She will work with you to clarify questions and resolve the matter in a timely way.
- Continue to meet with Liz at the beginning of each semester to inform her of any concerns or additional needs related to your accommodations and to receive your updated Accommodations Form.
What instructors need to do
- Work collaboratively with the student and the Student Affairs office to provide the approved accommodations, consistent with the Accommodations Form.
- Contact the Assistant Director if you feel additional accommodations may be needed, if you have questions about how to provide certain accommodations within your course format, or with any concerns you may have related to the process.
- Know the essential elements of a course or program, so that accommodations can be provided consistent with academic standards.
What WSU Spokane Student Affairs will do
- Provide clear information about what documentation is needed to ensure that each student is eligible for accommodations and that the documentation is complete.
- Help students identify and obtain reasonable accommodations.
- Update Accommodation Forms each semester for each student who receives accommodations and other services from the Office of Student Affairs.
- Maintain student information confidentially and sensitively, according to State and Federal privacy laws.
- Inform students when additional documentation is needed or has become outdated.
- Explore with students the impact of the disability and provide further information and/or referrals to other student services that might provide further assistance.
- Demonstrate professional respect, clear and timely communication, and courtesy in the provision of services to students, faculty and staff.
- Work collaboratively and positively with students and instructors to resolve questions, concerns and needs for accommodations in an expedient manner.
Students seeking support services from Washington State University Spokane on the basis of any disability are required to submit documentation to verify eligibility.
Complete documentation verifies the existence of the disabling condition; discusses the functional limitation; and describes the effect of the disability on the individual's ability to access the educational process
Disability documentation and related information will be kept in a separate file in the Student Affairs office. The student is responsible for providing this documentation, including any associated cost.

STUDENTS WITH DISABILITIES SYLLABUS STATEMENT
We are an institution of higher education and have a responsibility to inform students with disabilities about the process of accessing reasonable accommodations. The Students with Disabilities syllabus statement is an important part of fulfilling that institutional responsibility, therefore we ask that all teaching faculty include it in every syllabus.

TESTING ROOM POLICIES & PROCEDURES
The WSU Spokane Student Affairs office provides testing accommodations for students with disabilities. Only students with documented disabilities who have been approved for testing accommodations for the semester are eligible to utilize these testing services.
The Student Affairs office can provide a testing room for students with disabilities who require such accommodations, or an instructor may provide testing accommodations for students in their classroom or office.
What students need to do:
- Talk to instructors about their Accommodation Form at the beginning of each term.
- Submit a copy of each syllabus with testing dates highlighted to Student Affairs at the beginning of each term, so testing rooms may be scheduled.
- If requested from faculty, please send a reminder to faculty at least two weekdays in advance that the test will be taken in the Student Affairs testing rooms.
- Ask faculty to email the test (or test password) and instructions to firstname.lastname@example.org or deliver to Kristie Brink (SAC 145).
- Notify the Student Affairs office (email@example.com) if a scheduled test is cancelled or if you decide to take the test or quiz in class.
- Show up on time for the exam. Faculty will be contacted for late arrivals to see whether testing should proceed or not.
What instructors need to do:
- Student will initiate meeting to discuss Letter of Accommodation and testing at the beginning of the semester.
- Fill out Faculty Testing Room Instructions for each exam and include with the exam.
- If the student is testing in the Student Affairs testing room, send a copy of the exam/password via email (firstname.lastname@example.org) or hand deliver to Kristie Brink (SAC 145).
- Arrange for alternate test day and times as necessary. See “Scheduling Tests” below.
What the Student Affairs office will do:
- Begin and end the test according to the specific instructions of faculty and the student’s approved accommodations.
- Make sure that the Faculty Testing Room Instructions are followed.
- Hold for pick up or deliver the completed test according to faculty instructions.
Scheduling a test
Students are expected to test in the Student Affairs testing room at the same time the rest of the class is testing unless faculty have arranged an alternate date or time with the student and indicated the alternate date or time on the proctoring instructions. The testing room is available during business hours (7:30 am to 5:00 pm). GRIEVANCE POLICY & PROCEDURES
Students registered with WSU Spokane Disability Services who believe they have been adversely impacted by Disability Resources staff, policies or procedures, or who believed that an assigned accommodation is not being appropriately provided, should first contact Disability Services. If the student is not satisfied, they have a right to file a formal grievance. This complaint should be made as soon as possible after the action that triggers concern, and the complaint will be resolved based on timelines stated the procedures below. The student may do so by:
1. Students should present their concerns in writing to the WSU Spokane Director of Student Affairs. The grievance should contain the following elements.
- Specifics of the concern, including the student’s rationale for filing the grievance
- History of the issue, including steps that the student has taken to date
- Individuals against whom the concern is being filed
- Requested resolution to the concern
- Contact information for the student
If the grievance relates to accommodations granted or not granted to a student, accommodations will not be adjusted until the Director has reached a decision. The Director of the Student Affairs will investigate and respond to the student within one week.

2. Once a formal decision has been made and the student informed, the student may appeal to the WSU Pullman Dean of Students within 20 business days of the Director’s response. The Office of Student Affairs will provide the Dean of Students with the grievance documents submitted by the students. Only facts already in evidence will be considered.

Faculty members have the same right as students to raise questions and concerns with disability services/accommodations, especially when it is believed that the accommodations granted present a fundamental alteration to the academic integrity of the course. Faculty must speak directly to the Disability Services provider and NOT to the student in question. In addition, faculty members are still obligated to provide all accommodations as stated in the Letter of Accommodation until resolution is reached.
If a faculty member is still dissatisfied after the Disability Services provider has considered the concern and provided rationale, the faculty should speak directly to his or her department chair. The department chair will confer with the College Dean and the Senior Vice Chancellor for Academic Affairs and Research as needed and will respond to the faculty member within two weeks. Accommodations may not be adjusted until resolution is reached.
