Campus Space Reservations

The WSU Spokane Scheduling Team is responsible for managing all general-use spaces on the WSU Spokane Campus, including but not limited to classrooms, lobbies, green spaces, and conference rooms. As an academic institution, WSU prioritizes instruction, research, public assembly, student activities, and recreational activities related to education. 

Reserving a Space

To reserve a space, individuals or groups must submit a request for approval.

Academic needs take precedence

Academic needs take precedence over all other uses. See policy WAC 504-35-010. For more information on course scheduling, please refer to the University Registrar. In the event of scheduling conflicts, priority is given in the following order:

  1. Academic Use: Events related to courses or credit-bearing activities.
  2. Internal Use: Events for campus employees or students.
  3. University-Sponsored Events: Official university events.
  4. Non-WSU Groups: External organizations and groups.

Scheduling with 25Live

WSU Spokane uses 25Live for all scheduling needs. Anyone with a WSU network ID and login has basic access to 25Live and may request space on the WSU Spokane campus. 

Receiving confirmation

You will receive confirmation from the schedulers once your request is approved. Once approved, your space is reserved for your class, meeting, or event.

10th Day Policy

Events that are not academic in nature are subject to WSU’s 10th Day policy and will not be scheduled until the 10th day of the respective academic term. If an event falls within the first 10 days, it will be scheduled no later than the night prior at 5 PM.

This policy is a reflection of the Washington Administrative Code (WAC), which stipulates that classes must be prioritized in academic spaces. You can contact Academic Scheduling with questions regarding this policy.

WSU Staff and Faculty Scheduling

Department schedulers will work with the Academic Scheduler to ensure courses, clinicals, and any academic meetings are scheduled through myWSU and rooms are assigned in 25Live. 

Staff and faculty are permitted to schedule conference rooms for meetings and department gatherings as well as be a point person for some on-campus events. Please contact the academic schedulers if you need clarification.

Scheduling is done on a semester basis
  • Fall: August – December
  • Spring: January – May
  • Summer: May-August

Event Types in 25Live

  • 25L Academic Events: These are related to an academic course. These are requested in 25Live. For example, NURS_FPC 315 Section 6 Clinical or PHARDSCI 508 Exam Review.
  • 25L Event – Spokane: These are not tied to a course and usually include a presentation and possibly food.
  • 25L Meeting – Spokane: Usually in conference rooms and related to the support of departments and colleges on campus.
  • 25L Tabling: Used for table with chairs set-up in building lobby spaces. Examples: Donation boxes, Birthday Cupcakes.
  • 25L Student Group Event – Spokane: Student groups must first submit their event through Presence and then through 25Live. See RSO information.
  • 25L Study Session – Spokane: See “How to Schedule a Study Space”.

WSU Student Study Space Scheduling

Currently enrolled students may use 25Live to reserve study spaces as well as locations for Registered Student Organization (RSO) or Interest Group (IG) events and meetings. Students typically use the following event types in 25Live:

  • 25L Student Group Event – Spokane: Student groups reserve space on campus for their meetings and events
  • 25L Study Session – Spokane: Use for private or group study sessions in a classroom.
  • 25L Tabling: Used for table and chair set-up or recurring collection sites in building lobby spaces. Examples: Donation boxes, fundraisers, info sessions, meet and greets, etc.

Schedule a Study Space

Students can access classrooms and common areas on campus for study space. Conference rooms are reserved for staff and faculty only. Labs are scheduled through their departments.

Alternative Spaces

The following spaces do not require a reservation and are always accessible for currently enrolled WSU Spokane students using their CougarCard. 

  • Interprofessional Learning Commons – SAC 305
  • Library – SAC 2nd and 3rd floor
  • SAC 341 & SAC 343 – Available after 6 PM every evening and all day Saturday and Sunday
  • MED 2nd floor lounge – 24-hour access for MD students only

Schedule Space for RSO or IG Events and Meetings

Student groups must first submit their event through Presence and then through 25Live. Once an event is approved in Presence, the space in 25Live can then be confirmed. This includes tabling events, drop-off boxes in lobbies, meetings, events of any scale, and outdoor activities.

Please work with the Event Scheduler to reserve any necessary resources. If necessary, the scheduling team may refer your group to Campus Security to discuss risk assessment.

Eastern Washington University at WSU Spokane

The scheduling team works with EWU to support the Physical Therapy, Occupational Therapy and Dental Hygiene health sciences courses on campus. For academic courses, please contact Academic Scheduling at spokane.academics@wsu.edu. Event and meeting questions can be directed to spokane.schedule@wsu.edu.

EWU registered student organizations are directed to work with their department coordinator to request space on campus. Additional amenities are available at the EWU Catalyst Building and EWU SIERR building.
