External Event Requests

Thank you for your interest in hosting your meeting, seminar, or event at WSU Spokane. 

Before making your request, you must have a current WSU Spokane sponsor and a connection to the health sciences and/or the WSU Spokane mission. If you have a current connection to the campus, please fill out the form below. The Scheduling team will contact you upon receipt of the request.

All events are subject to review.

All events are subject to executive review and will only be scheduled if deemed possible by all campus partners involved with your specific event setup.

WSU Spokane Chancellor-sponsored events

If your group is sponsored by the Office of the Chancellor, please contact Heather Byrd at heather.byrd@wsu.edu.

Staffing reductions

Due to staffing reductions, event support services on campus are currently limited. External event organizers are asked to work with a WSU Spokane employee sponsor who can assist with event logistics, setup and cleanup, and be on-site during the event. The WSU Spokane employee sponsor should be aware of your request prior to submitting your inquiry.

Event Scheduling

10th Day Policy

Events that are not academic in nature are subject to WSU’s 10th Day policy and will not be scheduled until the 10th day of the respective academic term. If an event falls within the first 10 days, it will be scheduled no later than the night prior at 5 PM.

This policy is a reflection of the Washington Administrative Code (WAC), which stipulates that classes must be prioritized in academic spaces. You can contact Academic Scheduling with questions regarding this policy.

Fees

Administrative Fee

All reservations will be charged a $50 administrative fee.

Facilities and Custodial Fees

Extra charges

Events that place a substantial amount of trash, use of energy, or custodial supplies will have charges passed onto the user.

  • Set-up and custodial for events during normal working hours: $125
  • Set-up and custodial for events after hours and weekends: $175

IT Support Fees

IT Support may be available for your event. Please work with the Event Scheduler to learn more. Additional fees may be charged.

Cancellation Fees

Cancellation by the TENANT within thirty days of the reservation will result in a ten percent cancellation fee. Additionally, labor charges will be applied if WSU Health Sciences Spokane staff have set-up the event. If a reservation is cancelled less than three business days before utilization is scheduled to take place, WSU Health Sciences Spokane reserves the right to retain all use fees.

If for any reason WSU Health Sciences Spokane is required to relocate the scheduled event, the institution will do all that is possible to allocate alternative space, located on campus, in order to fulfill the TENANT’S needs.
